Wedding Return Gifts in Bulk: Planning for 100 to 500 Guests

Wedding Return Gifts in Bulk: Planning for 100 to 500 Guests

How to plan bulk wedding return gifts for 100 to 500 guests: count households, add a buffer, budget per box and lock the timeline, with a planning table.

Planning bulk wedding return gifts comes down to three numbers: how many boxes you actually need, what you can spend per box, and how early you need to lock the order. For 100 to 500 guests, it's common to give one gift per family rather than per person, add a buffer of around 10%, and choose a single ready-made favour so packing and handing out stay simple. Here's how to work out each number, with a planning table you can use.

Step 1: Count families, not guests

A guest list of 400 rarely means 400 return gifts. It's common to give one box per household or couple, with separate gifts only for single friends, colleagues and VIPs. As a rough guide, divide your confirmed guest count by 2.5 to 3 to estimate households, then check it against your actual list.

  • Couples and families: one gift per household.
  • Friends attending alone: one each.
  • Children: usually covered by the family's box, or a small separate treat.
  • Elders and VIPs: a richer gift, counted separately.
  • Staff, priests and helpers: decide early whether they get the same box or something else.

Count your premium boxes for elders and VIPs separately. Even at a large wedding this might be just 10 to 20 boxes, but they're worth planning on their own so they don't get mixed in with the rest.

Step 2: Add a buffer

Every wedding has unannounced guests, a relative who brings a neighbour, and boxes that get handed out twice. We'd add 8 to 10% on top of your count. Leftover boxes are never wasted; they become thank-you gifts for vendors, neighbours and the people who helped.

Planning table for 100 to 500 guests

This uses a household ratio of about 2.7 guests per box and a 10% buffer. Adjust it to your own list.

Confirmed guests Estimated boxes With 10% buffer At ₹745 per box At ₹765 per box
100 37 41 ₹30,545 ₹31,365
200 74 82 ₹61,090 ₹62,730
300 111 123 ₹91,635 ₹94,095
400 148 163 ₹1,21,435 ₹1,24,695
500 185 204 ₹1,51,980 ₹1,56,060

Step 3: Choose one favour for most guests

With a few hundred boxes, simplicity wins. One design for most guests, plus one premium box for elders and VIPs, is far easier to pack, store and hand out than five different gifts. What to look for:

  1. Shelf-stable. Boxes may sit in a hall or hotel store room for a few days.
  2. Easy to carry. Guests leave with a handbag, a shawl and a sleepy child. Keep the box light.
  3. Useful. Food, a candle or a pantry item gets used. Showpieces get put away.
  4. Labelled clearly. Packaged food should carry an FSSAI licence number under the Labelling and Display Regulations, 2020, along with allergen information.

Two favours we pack for weddings

The Wedding Edit, ₹765

Our Wedding Edit favour hamper was designed as a return gift for guests. Inside: Coffee Cookies (70g), Vanilla or Toasted Coconut Chips (75g) and Peri Peri Almonds (100g), in a box made for celebrations.

Emerald Canopy, ₹745

The Emerald Canopy snack hamper has Vanilla or Toasted Coconut Chips (55g), Coffee Cookies (70g) and Peri Peri Almonds (100g). It's the one to look at if you're working to a tighter per-box budget.

Both contain nuts, so plan a few nut-free alternatives for guests who need them. The coconut comes from our family's fifth-generation estate in Sindhudurg, and we make everything in small batches. You can compare options in our wedding favour hampers collection.

Step 4: Lock the timeline

Bulk orders need more time than a single gift, both for the vendor and for you. Here's how we'd plan it, working back from the wedding date. Lead times vary by vendor and quantity, so confirm yours before you commit.

When What to do
6 to 8 weeks before Shortlist two or three favours, ask for samples, get a quote for your quantity
4 weeks before Confirm the order with an estimated count, agree the delivery date and address
2 weeks before Final count after RSVPs, including the buffer
3 to 5 days before Boxes delivered to one location; count and check them
Day before Sort boxes by function and recipient, set up the favour table

Our shipping policy is that orders placed before 5 PM IST ship the same day from Navi Mumbai, and delivery outside Maharashtra usually takes 3 to 5 days. For a large order, message us on WhatsApp at +91 81049 05922 with your quantity and date, and we'll confirm what we can supply and when.

Questions to ask any vendor about bulk wedding return gifts

Whoever you order from, these questions save trouble later:

  • Is this product in stock for my full quantity, and on what date can it be delivered?
  • Can I see a sample or a photo of an actual packed box, not just a catalogue image?
  • What is the shelf life, and how should the boxes be stored?
  • Does the packaging show the FSSAI licence number and allergen information?
  • What happens if some boxes arrive damaged?

A vendor who answers these clearly and quickly is usually the one who delivers on time.

Step 5: Plan the hand-out

  • Deliver everything to one address: the venue, the hotel or one family home. Splitting a bulk order across several addresses is where boxes go missing.
  • Store boxes somewhere cool and dry, away from the kitchen.
  • Set up a favour table at the exit with two people and a list.
  • Keep VIP and allergy-friendly boxes separate and clearly labelled.
  • Assign one cousin to deliver boxes to elders who leave early.

Frequently asked questions

How many return gifts do I need for 300 wedding guests?

If you give one gift per household, roughly 110 to 120 boxes, plus a 10% buffer. Check against your actual list, since the ratio depends on how many guests come as families.

Should wedding return gifts be given per person or per family?

Per family is a common approach and keeps numbers manageable. Give separate gifts to friends attending alone, and a richer box to elders and VIPs.

How early should I order bulk wedding return gifts?

Start shortlisting six to eight weeks before the wedding and confirm the order about a month ahead. Confirm the exact lead time with your vendor, since it depends on quantity.

What is a good wedding return gift for a large guest list?

Something shelf-stable, light and useful, such as a snack hamper, a candle or a pantry item. One design for most guests keeps packing and hand-out simple.
