A good wedding welcome hamper gives guests what they need in the first hour after check-in: water, something to eat, the function schedule and a small local touch. Get those four right and the box feels thoughtful whether it costs ₹500 or ₹2,500. Here's what to put in the room box, how to budget for it, and how to get the logistics right with the hotel.

Why the welcome box matters more than the return gift

Guests arrive tired. They've taken an early flight or a long drive, they're hungry, and the first function is in four hours. The welcome hamper is the first thing they see from the family, and it sets the tone for the whole wedding. A return gift is remembered later. A welcome box is used straight away.

Room hampers are now common at destination and out-of-town weddings, and many planners put snack and treat hampers in guests' rooms. This WeddingSutra round-up of welcome ideas has a few examples. The question is no longer whether to do one, but how to make it useful.

What to put in a wedding welcome hamper

Think in four layers. You don't need all of them, but the first two are non-negotiable.

Layer What to include Why
1. Essentials Two bottles of water, a printed itinerary, the family's contact numbers, the Wi-Fi password Saves twenty phone calls to the bride's cousin
2. Food Shelf-stable snacks, one sweet item, one savoury item Meal timings at weddings run late; guests need something between functions
3. Comfort Mints, a small hand cream, an eye mask, a hangover kit for the sangeet night Small things guests forget to pack
4. Local touch A snack or sweet from the city, a postcard, a map with nearby places Makes the box feel personal to your wedding

A note from the couple ties it together. Two lines is enough: a welcome, and one thing you're looking forward to sharing with them.

Food: the part guests actually use

When we pack wedding orders, the brief we hear most is simple: "something people will eat, not just photograph." That rules out a few things.

  • Fresh mithai and anything with milk. Hotel rooms are warm, and boxes often sit for a day before guests check in.
  • Chocolate in hot weather. A Goa or Rajasthan wedding in a warm month will melt it.
  • Very large portions. Guests are eating at every function. A small, good box beats a big one.

What works is a mix: something crunchy and savoury, something sweet, and nuts. Keep it shelf-stable and sealed, so the box survives the hotel store room and the bellboy's trolley.

One important check: ask about allergies when you send out the RSVP. Nuts are common in festive food, and a guest with a nut allergy should get a different box, clearly labelled with their name.

Budget: what a welcome hamper costs

Budget per room What you can include
₹400 to ₹700 Water, itinerary card, one snack pack, a sweet, mints
₹700 to ₹1,200 A ready-made snack hamper, water, itinerary, a comfort item or two
₹1,200 to ₹2,500 A premium hamper, local specialities, a small keepsake, comfort kit

Remember that you're budgeting per room, not per guest. A family of four shares one box, so count rooms, not heads. Add five or so spare boxes for late additions and the inevitable relative who turns up without telling anyone.

Ready-made hampers that work as welcome boxes

If you'd rather not assemble two hundred boxes yourself, a ready-made hamper as the base saves a lot of work. You add the water, itinerary and note at the hotel. Two of ours that suit this well:

The Wedding Edit, ₹765

The Wedding Edit favour hamper was made for wedding guests. Inside: Coffee Cookies (70g), Vanilla or Toasted Coconut Chips (75g) and Peri Peri Almonds (100g). Sweet, savoury and spicy, in a box that's sized for a hotel room table.

Crimson Canopy, ₹840

For a winter wedding, the Crimson Canopy hamper with a scented candle adds a little warmth to the room. Inside: Almond Jaggery Cookies (100g), Vanilla or Toasted Coconut Chips (100g), Coconut Millet Pops (65g) and a scented candle.

Both contain nuts. The coconut comes from our family's fifth-generation estate in Sindhudurg, and we make everything in small batches. You can see all our options in the wedding favour hampers collection. For larger guest lists or a custom mix, share your requirement on WhatsApp at +91 81049 05922 and we'll confirm what's possible.

Working with the hotel

Most welcome box problems are logistics, not contents. Before the wedding, settle these with the hotel's events or front office team:

  1. Delivery address and contact. Courier boxes to a named person at the hotel, with the wedding name and dates on the label.
  2. Storage. Ask where the boxes will be kept and whether the room is cool and dry.
  3. Placement. Will housekeeping put a box in each room before check-in, or will they be handed out at the welcome desk? Some hotels charge a placement fee, so ask.
  4. Rooming list. Give the hotel a final list with names, so special boxes (allergies, kids, elders) go to the right rooms.
  5. Timing. Have boxes arrive at least two days before the first guests check in. Our shipping policy is that orders before 5 PM IST ship the same day, and delivery outside Maharashtra usually takes 3 to 5 days, so plan backwards from that.

Small touches that guests remember

  • A handwritten name on each box. It takes an afternoon with a few cousins and a good pen.
  • A separate kids' pouch for families with children, with a colouring sheet and a child-friendly snack.
  • A note on the dress code for each function. You'll save every aunt a phone call.
  • For elders, a softer snack and a printed itinerary in a larger font.

Frequently asked questions

What should be in a wedding welcome hamper?

At minimum: water, a printed itinerary, contact numbers and a few snacks. Add a comfort item and a local touch if your budget allows, and a short note from the couple.

How much should I spend on a wedding guest welcome box?

A comfortable range is ₹500 to ₹1,500 per room, depending on the guest list. Budget per room rather than per guest, since families share one box.

When should welcome hampers reach the hotel?

At least two days before the first guests check in. That leaves time to count, label and place the boxes without a rush on the day.

Should I include alcohol in a welcome hamper?

Check the hotel's policy and local liquor rules first, and remember that many guests don't drink. A separate bottle for chosen rooms is usually simpler than putting alcohol in every box.
