Bulk Diwali Gifts: How to Order 50 to 500 Hampers Without Stress

Ordering bulk Diwali gifts for 50 to 500 people goes smoothly when you lock four things before you pay anyone: a clean headcount list, a delivery address sheet, a per-head budget, and one sample you have actually opened. Everything after that (dispatch, receiving at the office, damage checks) is routine if the list is right. This guide walks you through each step, with real budget maths using our current hamper prices.

We pack every order at our unit in Mahape MIDC, Navi Mumbai, and a lot of the trouble with big festive orders starts with a spreadsheet, not with the hamper. So we will start there too. Step 1: Build a headcount list you can trust

HR's master list is rarely the right list for gifting. It includes people on notice, misses interns and contract staff, and does not tell you who works from home. Before you count hampers, make a separate sheet with these columns:

• Employee or client name, exactly as it should appear on the parcel
• Team or department (useful when you hand out at the office)
• Location: office floor, branch city, or home
• Gift tier, if you are giving different hampers to different groups
• Dietary or allergy flag (more on this in Step 6)
• Status column: confirmed, on leave, exited

Freeze the list on a fixed date and ask managers to confirm their rows in writing. Then add a buffer of about 3 to 5 percent for new joiners, a visiting client, or a box that gets damaged. On a 200-person order that is 6 to 10 extra hampers, and it is far cheaper than a last-minute single order.

Step 2: Make an address sheet before you choose the hamper

Where the gifts are going decides more than you think. A single delivery to one office is simple. Fifty boxes going to fifty homes across five states is a different job, and you need to know early if your vendor can do it at all.

For home deliveries, collect: full address with landmark, six-digit PIN code, a phone number the recipient will actually answer, and a "safe to deliver" window. Ask people to fill a short form rather than copying addresses from old records. Wrong flat numbers and switched-off phones cause most failed deliveries in the festive rush.

Step 3: Do the budget maths on real prices

Pick a per-head figure first and let it decide the hamper, not the other way round. Below is what the hamper cost alone looks like at four order sizes, using three of our hampers at today's listed prices. Shipping, any taxes on your side, and any packaging extras are not in these numbers, so treat them as the base.

Two ways teams usually stretch a fixed budget:

• Tier it. For 250 people, 200 Emerald Canopy hampers plus 50 Crimson Canopy hampers for team leads comes to ₹1,49,000 + ₹42,000 = ₹1,91,000. That is only ₹4,750 more than giving everyone Emerald Canopy.
• Hold back a contingency. Keep 5 percent of the total aside for the buffer hampers from Step 1 and for courier surprises. On a ₹2,00,000 budget that is ₹10,000.

Step 4: Choose hampers that survive a big order

Gifts that look lovely as one box can be a headache at 300. What travels well in quantity: sealed packaged snacks, dry fruit boxes, tea or coffee tins, diyas packed in moulded trays, and small brass or steel items. What causes trouble: fresh mithai with a two-to-three-day shelf life, glass jars without inner padding, and anything that melts in a warm delivery van.

The coconut chips in both come from coconuts grown on our family's ancestral estate in Sindhudurg, about 500 km from Mumbai, and we make them in small batches.

Step 5: Order one sample and actually test it

Before you commit to 100 or 500 units, buy one hamper at the regular price and treat it like a recipient would. Open it on a desk. Taste everything. Check the box after a courier ride: are corners crushed, did anything shift inside? Photograph it so the approver sees exactly what is coming.

Use the sample to settle questions early. Will the box fit in a standard office locker? Is it heavy enough to need two hands? Does it carry the ingredient and allergen information your team will ask about? Ten minutes with a sample saves a lot of arguing later.

Step 6: Flag dietary needs and allergens

This is the step most teams skip, and the one people remember. In a group of 200, you will usually have a few people who avoid nuts, gluten, dairy, or certain spices for health or religious reasons. Ask in your address form: "Any food allergies or restrictions we should know about?"

Be upfront: every Good Graze hamper contains nuts, including almonds and, in some hampers, cashews. If someone on your list has a nut allergy, give them a non-food gift (a plant, a candle, a brass diya) instead of trying to pick a "safer" hamper. Step 7: Dispatch and tracking

Diwali falls on Sunday, 8 November 2026, with Dhanteras on Friday, 6 November (dates per this Diwali 2026 festival guide). Many offices hand out gifts on the last working day before the long weekend, so work backwards from that date, not from Diwali itself.

For our regular orders, anything placed before 5 PM IST ships the same day from Navi Mumbai, and delivery outside Maharashtra usually takes 3 to 5 days, as per our shipping policy. Timing for a large quantity is different and depends on the order, so share your requirement on WhatsApp and we'll confirm a dispatch plan. Ask any vendor for tracking numbers in one sheet, matched to your address list, so you are not chasing 40 links on 5 November.

Step 8: Receiving at the office and damage checks

If the gifts come to one office, name one person to receive and one backup. Tell security and the front desk the expected date, roughly how many cartons, and where to put them. A stack of 300 hampers needs real floor space, ideally a meeting room you can lock.

When the cartons arrive:

1. Count outer cartons against the delivery note before signing.
2. Photograph any carton that is crushed, wet or torn, before opening.
3. Open a random 5 to 10 percent of hampers and check the contents.
4. Set aside damaged pieces with photos and report them to the vendor the same day.
5. Use your buffer hampers to replace damaged ones so nobody misses out.

For distribution, sort hampers by floor or team using the department column from Step 1, and tick names off as people collect. That way you know exactly who is still owed a gift.
